Meeting Minutes

Attendees: Arunram, Rajkumar, Aditi, Sharmila, Abhishek Misra, Rajkumar, Rengaraj, Vijaykumar Rajkumar

  • Created a presentation for promotion
  • He will be sending a pull request so that we can make use of it

Vijay

  • We have created a spread sheet to establish contacts across region
  • The point is we will search for institution and groups in that particular region and add the contact details in the spread sheet
  • Owner belongs to that Institution will post announcement to them
  • We will have column to track the last sent announcement in order to avoid duplicate
  • Vijay insisted to sent announcement in order (i.e we should not send work shop CFP open before sending conference CFP)
  • Since ticket is going to open in June 3 we need to reach colleges to make more students particitpation
  • We are planning to sell 600 tickets around chennai and 600 from other parts of India

Meeting Minutes 16-05-2019

Rajkumar

  • He is conducting a python workshop at Government Engineering college Theni
  • He is planing to create separate ppt for promoting the conference along with the workshop
  • He is also reaching IIM and IIIT Trichy for promotion.

Sharmila

  • Suggested to post a form in mailing list and ask for people to suggest speakers

Aditi and Pavithra

  • They were suggesting to post frequent tweet on social media to reach more people.
  • The idea is to post conference related update at least weekly basis.

Vijaykumar

  • Suggested to 4 or 5 people divide the mailing list and take responsibility on posting on the mailing list and update the task, Since we are not posting actively on mailing list.
  • Also he suggested to get help or Idea from people in InPyCon Mailing list.

Action Items:

  • Github Issue will be created for posting of suggested speaker - Sharmila
  • Github Issue will be created for Posting the reminder for various timelines of conference like, CFP close date, ticket opening date, Poster closing date etc - Aditi
  • Github issue will be created for regular post on twitter

Meeting Minutes 09-05-2019

  • We need to post all meetup groups about CFP workshop by before end of next week
  • Events calendar update is in progress - Abhishek
  • Dheeraj is actively posting meetup groups which has telegram and whats app group.
  • Vijay will followup mailing list description update
  • Rengaraj Will followup LinkedIn usergroup description update
  • Dhanya Abirami suggested to send notification to Placement Cell once the ticket is open
  • Vijay Asked dhany Abirami to submit a talk proposal
  • Once the post on meetup group is done Vijay asked us to mark that in CFP workshop announcement issue.

Meeting Minutes 02-05-2019

  • We were discussing on following up the contacts got from paypal and pysangamam conference

  • Rajkumar contacted Government college Theni, for now they are busy in counselling activities.

  • He will also be visiting Coimbatore and follow up with kovaipy

  • All the college students are vacation

  • We will be promoting poster cfp among students.

  • Adding calendar events on python.org by Abhishek - in progress

  • Changing mailing list description by Vijay - in progress

  • Changing LinkedIn usergroup description by Rengaraj - in progress

Meeting Minutes 28-04-2019

  • Rajkumar went to NIT and spoke with 10 to 15 People about the conference. Also he is planning to visit Govt engineering College Theni to promote the event.
  • Abhishek mishra will promote the event in a meetup group as a part of his talk session.
  • Vijay planned to visit local user group meetups at paypal to get some contacts and promote the event as well.
  • Some of the pending tasks we decide to complete
    • adding conference to python events calendar
    • LinkedIn group description update
    • Mailing list description update

Meeting Minutes 19-04-2019

  • All members introduced themselves
  • Importance of promoting the event was discussed.
  • Idea of advertising the event was discussed.
  • Discussed on twitter tweet activeness e.g. How to post a new CFP tweet with duplicating the first one.
  • Discussed about github issues with promotion label to work on
  • We have planned to move the meeting to Thursday 9:00 to 9:30 PM since most people will be travelling on friday for weekends.
  • We have asked everyone to come with ideas for promotions and put it in wiki to discuss
